JOB TITLE:

FILE PROCESSOR / COLLECTOR/ OFFICE ASSISTANT Reports To: Manager or Office Supervisor Position Summary: Under supervision of Office Supervisor or Manager, this position provides office support functions along with processing files in the insurance and construction fields. Processing of invoices, payments and collection duties. Some work assignments will be project-based including research and report preparation. Is responsible for daily processing of invoices and payments. In addition this position performs clerical support duties as assigned by the Office Supervisor or Manager. We are looking for someone who has high attention to detail and excellent communication skills. As a File Processor, you will need to be able to communicate efficiently to all parties involved from clients to Insurance Companies, Banks, Mortgage Companies and other venders.New Day Services, LLC takes pride in our impeccable customer service, this includes helping qualified clients process their insurance claim in a timely manner to meet their needs and expectations throughout the claim process.File Processors duties and responsibilities will include analysis and evaluation of home or commercial property owner as well as generation and finalizing reports, contracts and other documents. EDUCATION AND MINIMUM REQUIREMENTS ? High School diploma or equivalent. ? General office experience. WORKING CONDITIONS Office work. Part Time to Full Time 8:00 A.M. to 5:00 P.M. JOB DESCRIPTION Processing of client files and performs general clerical and office duties including answering the phone data entry, filing, photocopying, basic bookkeeping and operating of computer equipment and software. Be familiar with office procedures and help maintain smooth office operations. ANSWERS PHONE; screens calls; responds to any inquiries or transfers call to appropriate office or field representative; compose correspondence in response to inquiries. FILE PROCESSING ? Set up insurance claims for home repairs ? Reviewed documents to release funds for insurance claims ? Call clients to inform of what documents were needed and the process for their insurance claims or construction file. ? Received calls to explain in detail process of the home claim and explained what documents were needed and why. ? Researched and screen client information while meeting strict time constraints ? Contact insurance carriers, mortgage companies, other venders and contractors to get insurance claims and repairs completed in a timely matter ? Ordered inspections to review the progress of repairs ? Responsible for all the checks received with each transaction. ? Proofread addresses and salutations of all correspondence. ? Make corrections if necessary prior to sending out communications. ? Print, fold and mail letters on the same day as needed when they are date sensitive. ? Ensure emailed correspondence was successfully sent by confirmation. ? Ensure matters and correspondence sync to Time Matters database and verifies for accuracy and completeness. ? Assemble and distribute files. ? Communicate directly with attorneys, analysts, consultants, mediators and laboratories. ? Handle Fast Track requests with same day turn around. ? Return consumer correspondence that requires complaint form or complaint form needing signature/more information. ? Maintain opening letter document queue in Salesforce. ? Order letterhead, envelopes and file folders. ? Backup for Data Processing. ? Backup for Telephone Representatives. ? Other duties as assigned ? Investigates and reconciles any discrepancies in files. ? Assist with preparation of mass mailing marketing and promotional materials. File Processors are in charge for maintaining filing systems in our organization. Organizing documents, Scanning and photocopying physical documents, discarding and shredding obsolete records, retrieving documents as required by company staff. accuracy, attention to details, organization, teamwork, computer competences, familiarity with office equipment.
